View intelligent upload list

The Intelligent Upload module is an intermediary step in the file upload process that classifies the incoming files—automatically or manually by analyzing files, amending their metadata, and distinguishing their place in the DIA RM-based storages of Essential Documents. Additionally, it serves as a centralized record of all uploaded files, ensuring traceability and accountability throughout the trial process.

This section focuses on how you can access and interpret the details of the Intelligent Upload List tab of the Intelligent Upload module to review the files uploaded by emails or locally—that are already or not yet transferred to their intended Essential Documents directories.

To view the intelligent uploads list
  1. In the eTMF application header, select the TMF tab.

  2. In the Study List table that opens by default, select the study for which you want to access the relevant files.

  3. On the page that opens, in the left pane, select the Intelligent Upload subtab.

  4. On the Intelligent Upload List tab that opens by default, view the details of various elements as explained in the following table.

    Common actions

    Study

    Represents the name of the selected study. If needed, from the dropdown menu, you can choose another study and view its related files.

    My Uploaded / My Files

    Turn the toggle on or off to filter the table data as follows:

    • If turned on, the table displays the locally uploaded files.

    • If turned off (a default state): the table displays the files that are uploaded to the system manually or by emails.

    Global setting

    Select Global_setting.png to open the Global Setting dialog and turn on the Auto-transfer Files Once Matched toggle to automatically transfer the files after they have passed the file matching criteria. If turned off, they appear in the pending state and need to be reviewed manually.

    Columns

    Batch ID

    Represents a unique identifier assigned to the files uploaded in a single transaction. This ID helps track and manage the files effectively.

    Uploaded By

    Represents a specific user or an automated system process that initiated the file upload. This helps in identifying the source of the upload for accountability and auditing purposes.

    Source

    Represents the source (origin) of the file, such as from a local drive upload or through files uploaded via email. This differentiation helps in assessing the upload method used.

    Uploaded Time

    Represents the date and time when the files were uploaded into the system. This timestamp is essential for tracking uploads and managing document timelines.

    Auto-transfer Files Once Matched

    Represents whether the functionality is set to automatically transfer files to their designated locations in the Essential Documents directories once they have been matched and classified appropriately.

    Intelligent Analysis

    Represents whether the intelligent analysis of the uploaded documents has been completed. This includes checks for categorization, validation, and compliance.

    # of Uploaded

    Represents the total number of files that have been uploaded in the current batch. This provides an overview of the volume of documents processed at one time.

    You can select the file counter to access file tracking details and management options in the Uploaded Files Tracking tab.

    # of Files Matched

    Represents count of files that have been successfully analyzed and matched to their respective categories and folders within the eTMF system.

    # of Files Transferred

    Represents the number of files that have been moved to their final storage locations post-analysis and matching.

    You can select the file counter to access file tracking details and management options in the Uploaded Files Tracking tab.

    # of Files Pending Transfer

    Represents the number of files that are still awaiting analysis, classification, or transfer. This helps in monitoring the progress of document processing and identifying any delays in the workflow.
